The Information Desk Operator (IDO) provides general information for all schools of the institution to visitors, in person and over the phone. Ensures that all offices/departments receive accurate information/messages in a timely manner and also facilitates smooth communication between them. The IDO is the key person of the communication process in case of emergencies. The position reports to the Human Resources Director.
Essential Duties and Responsibilities:
- Answering, transferring and directing incoming calls using a computerized database for information access.
- Monitoring and charging personal and divisional phone calls (for certain divisions) once a month. Submit to Accounting Office.
- Responsible for the collection and distribution of campus mail to all schools of the institution. Supervision and forwarding of mass mailings.
- Arranging and managing incoming and outgoing correspondence as well as courier services for all the Departments of the Institution.
- Keeping monthly records of mailing and shipment costs per department; managing the respective invoices and settle books with the Accounting Office at the end of the month.
- Keeping updated on daily campus activities to respond to and provide callers and guests with current campus activity information.
- Preparation of institutional telephone directory
- Input, update, maintenance and accuracy checks of personal data on a computerized database of all Faculty and Staff.
- Performing simple clerical tasks, assisting other departments during peak periods. (Human Resource and Accounting Offices, Rainbow Summer Camp, Public Relations and Communications) after consulting with the HR Director.
Qualifications:
- Pleasant personality and appearance, polite, professional, efficient, communicative, decent, competent in helping the public, prompt in meeting deadlines, willing to provide help when needed.
Education and/or experience:
- I.E.K/ T.E.I or relevant Diploma. One or two years of experience of working in an office environment and communicating with the public would be helpful.
Language Skills:
- Fluent to both English and Greek languages.
